Description

My ADU is a local and family business that utilizes over 30 years of building experience to design and develop quality custom homes with a variety of amenities and floor layouts in Vancouver and Clark County, WA. Over the past few years we have built a division of our business that focuses exclusively on Accessory Dwelling Units or "ADUs". Position Summary

The Permit Assistant supports the Company by preparing and submitting permit applications across multiple jurisdictions, coordinating required documentation and meetings, and keeping all parties updated as permits move through review. This is an in-office role with strong growth potential for someone eager to learn the residential design and permitting process in construction.

  • Permits move steadily through review with proactive follow-ups and documented responses
  • Project folders are organized; anyone can quickly find the latest approved documents and correspondence

Clear opportunities to grow into a Design & Permitting Coordinator or within other departments as you gain multi-jurisdiction experience, deepen your plan-reading skills, and take on more complex submittals.

Responsibilities

  • Create permit applications for each project and jurisdiction; ensure forms, plans, and attachments are complete and accurate
  • Assemble submittal packets (site plans, applications, forms, documents, etc.)
  • Schedule and coordinate client meetings for any custom design inputs needed for submittals
  • Schedule on-site items tied to permitting (e.g., bedroom count assessments, inspections, tests)
  • Communicate with external agencies such as: engineers, geotechs, well-testing companies, utility providers, and jurisdiction reviewers
  • Track and update status, deadlines, and comments from jurisdictions; follow up proactively until approvals are obtained
  • Upload/organize all permit documents, correspondence, and approvals in the project record; keep naming and version control clean
  • Document concise updates to the team and clients on what's submitted, what's pending, and what's needed next
  • Support the Design & Permit Team with additional tasks as needed during high volume periods

Qualifications

  • Strong organization and attention to detail; comfortable managing many open items at once.
  • Professional written and verbal communication; confident on the phone and in email
  • Ability to learn jurisdiction processes and checklists quickly across multiple cities/counties
  • Efficient in reviewing checklists, basic plan sets, and permit notes (training provided)
  • Proficiency with office productivity tools (docs, spreadsheets, email, file management)
  • Valid driver's license and ability to coordinate occasional local site logistics a plus.
