Matisse Capital is looking for a highly conscientious and organized Office Administrator to join our tight knit, professional, and fast-growing financial services firm. This position is vital to our firm's daily function and will focus on assisting our employees, clients, and vendors while enhancing the overall office experience and creating a warm and efficient environment. Matisse Capital is an SEC-Registered Investment Advisor and the manager of Matisse Funds, which includes two publicly traded open-end mutual funds. As a firm, we manage more than $1.1 Billion in total client assets. In addition to our unique mutual fund offerings, we separately provide fee-based investment advisory and consulting services to individuals, employers, and nonprofits.
To excel in this role, a candidate should have consistent attention to detail, organization efficiency and accuracy, and also a strong desire to listen and understand what people need in order to feel valued when they engage with our firm.

Responsibilities
- Make guests feel welcome as they arrive.
- Answer, forward, and screen office phone calls.
- Sort and distribute physical mail (and coordinate with offsite bookkeeper).
- Schedule and coordinate meetings with employee calendars. Maintain calendars for the office.
- File documents (physical and digital) and keep them well organized.
- Perform any other clerical duties necessary to keep the office running.
- Be the liaison for office vendors.
- Assist with travel arrangements when necessary.
- Update and maintain client and vendor contact information within our CRM, portfolio management system, and other software.
- Oversee and facilitate annual Holiday gifts for clients and contacts.
- Oversee and facilitate the physical and electronic distribution of client performance reports.
Qualifications
- Bachelor's degree preferred.
- 1-2 years experience in similar role preferred.
- Knowledge of mutual funds, securities, and financial markets preferred.
- Proficient in Word, Excel, Outlook, and PowerPoint.
- Experience with HubSpot preferred.
