Job Overview

We are currently seeking an action-oriented and organized Administrative Assistant to join our team. As our Administrative Assistant, you will play a vital role in the day-to-day operations of our firm. You will be responsible primarily for a variety of administrative tasks along with data entry and bookkeeping duties, making you an essential part of our team.

This is a full-time position, but could be anywhere from 30-40 hours per week depending on the candidate's availability. This role requires the individual to be in the office everyday, but hours can be flexible within the workday.

For health insurance, the Firm will pay $250/mo. towards any benefits the employee needs.

Responsibilities

  • Manage client portal and payment system, ensuring timely billing
  • Assist with calendars and scheduling of appointments
  • Maintain positive client relationships through clear and professional communication
  • Document Management: Organize and maintain physical and digital files, ensuring all documents are properly filed and easily accessible
  • Administrative Support: Answer phones, respond to client inquiries, and manage client communication effectively
  • Maintain accurate financial records using Quickbooks, including data entry, reconciliations, and preparing financial reports

Qualifications

  • Previous administrative experience is highly preferred
  • Accounting experience preferred
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize tasks effectively
  • Friendly and professional demeanor when interacting with clients
  • Must be available to work on-site
  • Proficient using computer and common office software such as Word, Excel, etc.
  • Ability to learn new software
  • Previous experience with Quickbooks or similar accounting software is a plus
