Salary: $ 42,928 - $48,294

Portland Opportunities Industrialization Center + Rosemary Anderson High School (POIC + RAHS) is a minority-led nonprofit 501(c)(3) organization providing the highest quality services in education, mentoring, family outreach, employment training and placement.

Summary

 This position is responsible for providing administrative and secretarial support to the North Campus and Youth Services Program, as well as managing the front desk at the North Campus by performing the following duties

 

Essential Duties

1. Answers a high volume of incoming phone calls and other correspondence for POIC + RAHS; provides information and resources and redirects requests to the appropriate party.

2. Manages school and program data as requested; sources, assemble and inputs confidential and sensitive information.

3. Greets and assists a diverse group of students, parents, staff, and visitors to the North Campus, answering questions and providing information as well as de-escalating conflict.

 

 

Job Duties

- Implements and maintains office procedures and administrative systems

- Sorts and distributes incoming faxes and mail

- Organizes and schedules meetings and appointments

- Inputs and manages student enrollment data for the North Campus

- Supports Youth Services and the Chief Operating Officer with miscellaneous administrative tasks, including written and telephone correspondence

- Works both independently and within a team on special and nonrecurring projects

- Opens the North Campus building daily; disarming the building and preparing it for students

- Manages confidential information including personal health information, confidential organizational information and student information

- Ensures strict adherence to confidentiality laws including HIPAA and FERPA

- Uses Microsoft Suite products daily; including Excel, MS Word and Outlook

- Manages conference room calendars

- Takes initiative to identify process improvements and other programmatic needs

- De-escalates visitors/students/parents as needed

- Manages office supply inventory for the North Campus

- Creates and maintains an accurate directory of staff contact information

- Maintains punctual, regular and predictable attendance

- Works collaboratively in a team environment with a spirit of cooperation

Education & Experience

Associates degree or equivalent, plus 3 to 5 years of related experience and/or training or equivalent combination of education and experience. Experience working independently and with minimal supervision in an administrative capacity, such as Office Manager, Secretary or Administrative Assistant. Demonstrated experience working with a diverse population. Bilingual English/Spanish preferred.
