Position Overview Native Forest Nursery is seeking a highly engaged, detail-oriented self-starter to support both the sales and operations teams. This role is a vital link between the sales department and daily operational activities, ensuring a smooth hand-off from sales to execution. The ideal candidate will be proactive, organized, and adaptable, with strong communication and follow-through skills.In addition to supporting cross-functional operations, the Operations and Sales Assistant will be expected to contribute directly to internal sales efforts, including engaging with existing customers, managing follow-ups, order entry and fulfillment. This position will also assist in gathering and organizing marketing materials to support the efforts of the marketing team.

Responsibilities

  • Contribute to internal sales, including customer follow-up and order coordination.
  • Provide internal support across the sales and operations departments.
  • Serve as a critical communication bridge between the sales team and operations.
  • Assist with external customer communications, sales team delegation and customer relationship management.
  • Help prepare for and support trade shows and industry events.
  • Support multi-team task management and project execution.
  • Maintain and organize schedules, email (Outlook), CRM (HubSpot), and video conferencing tools.
  • Conduct research for sales, product development, and business development initiatives.
  • Assist with gathering marketing materials with some use of media equipment for the marketing team.

Qualifications

  • Proficiency with Microsoft Office Suite, especially Excel and Word.
  • Familiarity with Outlook for email and calendar management.
  • Experience with Sage accounting system is a plus.
  • Experience with CRM, ERP, or MRP.
  • Strong written and verbal communication skills.
  • Demonstrated ability to manage several operational processes simultaneously.
  • Ability to train others on software tools is a plus.
  • Excellent interpersonal skills and a strong customer service mindset.
  • Two personal and/or professional character references.
  • Must be willing and able to work extended hours during peak season (approximately December through March), including some weekends as needed.
